This Privacy Policy explains how Vestir Studio collects, holds, uses and discloses personal information in connection with our website, bookings, hire services, appointments, communications and related business activities.

We aim to handle personal information transparently and in accordance with applicable Australian privacy laws. Where the Privacy Act 1988 (Cth) and Australian Privacy Principles apply to us, this policy is intended to describe our personal-information handling practices in a way consistent with those requirements.

1. Personal information we may collect

Identity and contact information, such as your name, date of birth where required, address, email address and telephone number.

Booking information, including the Items hired, Hire Period, Event Date, delivery or collection details, appointment information and booking history.

Payment and transaction information, including whether a card-on-file/vault payment credential or token is associated with a Booking. Full card details and card security codes are handled by our third-party rental and payment service providers; Vestir Studio does not store raw card security codes or unencrypted card details in its ordinary business systems.

Identity-verification information where reasonably required to verify age, identity, collection authority, prevent fraud or protect high-value Items.

Delivery and return information, including postal addresses, tracking information and proof of lodgement.

Garment-condition and protection information, including electronic condition records, photographs, customer acknowledgements, damage reports, cleaning or repair information, whether Optional Accidental Damage Protection was purchased, protection assessments and related evidence before, during or after a hire.

Customer-service information, including enquiries, complaints, feedback, correspondence and any information you provide when contacting us.

Marketing preferences and competition-entry information where you choose to participate or subscribe.

Technical information generated when you use our website, such as device, browser, IP address, website activity and cookie or similar technology information, where collected by our website or service providers.

2. How we collect personal information

We usually collect personal information directly from you when you make a Booking, create or use an account, book a try-on appointment, contact us, enter a competition, subscribe to marketing, collect or return an Item, report a fault or damage, or otherwise interact with Vestir Studio.

We may also receive information from service providers involved in providing our services, such as Shopify, our rental and booking systems (including Product Rentals Pro where used), payment and card-vault providers, delivery carriers and communications providers.

3. Why we collect, use and disclose personal information

to process, administer and fulfil Bookings and appointments;
to take payment, administer secure card-on-file/vault functionality through our service providers and, where applicable, process authorised post-hire charges in accordance with our Hire Terms and Conditions;
to arrange collection, delivery and returns, including Australia Post tracking;
to verify age, identity or collection authority and help prevent fraud or misuse;
to manage Item condition, cleaning, repairs, loss, late returns, Optional Accidental Damage Protection assessments, replacement assessments and disputes;
to communicate about Bookings, appointments, delivery, returns, charges, complaints and customer service;
to maintain business records, accounting and legal compliance;
to improve our website, services, customer experience and business operations;
to administer competitions, promotions and gift vouchers; and
to send marketing communications where permitted by law and consistent with your communication preferences.

4. Who we may disclose personal information to

We may disclose personal information where reasonably necessary to service providers and other parties that assist us to operate Vestir Studio. These may include:

our website and ecommerce provider (currently Shopify) and related technology providers;
rental, booking and appointment-system providers, including Product Rentals Pro where used;
payment processors, payment-authorisation providers and providers of secure card-on-file/vault functionality;
Australia Post and other delivery or logistics providers;
cleaners, repairers or other garment-care providers where relevant to a Booking or claim;
email, SMS, customer-service, cloud-storage, analytics and marketing-service providers;
accountants, insurers, legal advisers, debt-recovery providers and other professional advisers; and
government, regulatory, law-enforcement or dispute-resolution bodies where required or authorised by law.

We do not sell personal information to advertisers.

5. Overseas processing and storage

Some technology and service providers we use may store or process personal information outside Australia. The countries involved can vary depending on the provider, its systems and subcontractors. Where applicable, we take reasonable steps to use reputable providers and to manage overseas disclosures consistently with applicable Australian privacy requirements.

6. Cookies and similar technologies

Our website and service providers may use cookies and similar technologies to operate the website, remember preferences, understand website usage, improve performance, prevent fraud and, where enabled, support marketing or advertising. Browser settings may allow you to block or delete some cookies, although doing so can affect website functionality.

7. Marketing communications

We may send marketing communications where permitted by law. Marketing messages will provide a simple way to unsubscribe or opt out where required. Transactional messages about your Booking, appointment, delivery, return, charge or dispute are not marketing messages and may still be sent where reasonably necessary to administer the service.

8. How we hold and protect information

Personal information may be held electronically by Vestir Studio and by contracted service providers. Payment credentials used for card-on-file/vault functionality are handled by third-party providers rather than stored as raw card details in Vestir Studio's ordinary business systems. We take reasonable steps appropriate to the size and nature of our business to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. We retain information only for as long as reasonably necessary for our business, legal, accounting, dispute-resolution and record-keeping requirements, then take reasonable steps to delete or de-identify it where appropriate.

9. Access and correction

You may contact us to request access to personal information we hold about you or to ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before responding. In some circumstances the law may permit or require us to refuse access, in which case we will explain the basis where required.

10. Privacy complaints

If you have a privacy concern or complaint, please contact us using the details below and describe the issue and the outcome you are seeking. We will acknowledge complaints within 2 Business Days where practicable and aim to provide a substantive response within 5 Business Days, although complex matters may require additional time. If applicable privacy law gives you a right to complain to a regulator, you may also contact the Office of the Australian Information Commissioner.

11. Children and under-18 wearers

A Booking must be made by a person aged 18 years or over. A parent or legal guardian may make a Booking for an under-18 wearer and remains responsible for the Booking. We may collect limited information about the wearer where reasonably necessary to provide the service, but the contracting Customer remains the adult who made the Booking.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, systems or legal obligations. The current version will be published on our website with its last-updated date.
